    We are seeking an Event Sales Coordinator to join the Venue Hire team, where the primary focus of the role will be departmental administration and the management of commercial hire enquiries. Somerset House offers 12 blank-canvas event spaces, including indoor and outdoor spaces, suitable for staging events of all styles and sizes – ranging in capacity from 10 to 3,000. The Venue Hire team is responsible for managing all commercial hires at Somerset House, from drinks receptions and Christmas parties to fashion shows and film sets.  We are looking for an enthusiastic individual with strong organisational and coordination skills, exceptional attention to detail, and a desire to begin their career in the events industry. The successful candidate will be a quick learner who thrives in a fast-paced, commercially driven environment, is highly motivated and commercially aware, and can work effectively both independently and as part of a collaborative team.
    What we are looking for:EVENT SALES Act as the first point of contact for all initial event enquiries, professionally managing a high volume of enquiries via email and telephone in a timely and efficient manner. Think creatively to maximise opportunities by thinking outside the box to accommodate different types of events, when responding to enquiries. Always deliver an excellent level of customer service. Qualify initial event enquiries before handing over to the Event Sales Managers to conduct site visits. Ensuring a smooth handover for clients. And to support the department where needed. Build a strong rapport with key agencies and accredited suppliers, as part of the enquiry process. Where necessary, support the Sales team by taking site visits. Support the Sales team in securing business, whilst respecting and adhering to the limitations of a Grade-I listed venue. Ensure post-event follow-up with all relevant parties to maximise future opportunities and to encourage repeat business.  Work closely with other departments to ensure effective diary management and to maximise sales opportunities through effective space planning. Maintain and ensure all sales documentation and templates (including packages, proposals, venue information and external website listings) are accurate and up to date. Where required, support the Sales team with administrative tasks associated with sales tradeshows and cultivation events, including follow up sales emails.
    ADMINISTRATION Overall responsibility for administration within the Sales team. This includes security deposit refunds, invoice requests, managing supplier commissions and any relevant purchase orders.  Proactively liaise with clients and suppliers to ensure all paperwork is in place for sold events and that payments are received on schedule. Work closely with the Finance department to manage and minimise debtors. Ensure the event and venue management systems are updated for all events, generating reports from the system as required from the Head of Commercial Sales for analysis. Maintain and implement tracker documents and spreadsheets as required.  Prepare and share weekly sales reports.  Prepare and share monthly enquiry and commission reports with the Head of Commercial Sales. Coordinate all administrative tasks related to the Venue Hire accredited supplier tenders, including handling email correspondence, tracking applications, and providing support for any related tasks as required. Manage and maintain the venue hire section of the Somerset House website, ensuring content is accurate, up-to-date, and aligned with brand standards. Provide comprehensive administrative support for venue hire marketing activities, including creating and distributing newsletters, coordinating promotional materials, and managing the booking and scheduling of photographers and videographers to capture event content. Maintain and update client databases, ensuring accuracy, completeness, and compliance with data protection standards. Ensure that all audit and systems-based requirements for events are undertaken both accurately and in a timely manner.   Support the team by conducting regular industry research where required. Minute both team and wider departmental meetings.
    OTHER When required, organise, plan and deliver internal events, working with departments across the Trust. This will range from small cultivation events to exhibition openings and events for a range of Somerset House’s partners and stakeholders.  Carry out any other reasonable duties in line with the post as may be required from time to time, including covering other coordinator roles when required.  Work closely with other departments in the Trust to ensure smooth and effective communication, maximising opportunities where possible.

    Skills, knowledge & expertise required for the role:EXPERIENCE Experience delivering excellent customer service in a public/client facing role  Experience of general administrative tasks and/or diary management  Experience of information management, including producing, distributing and presenting information to a wide variety of audiences  Experience with financial tracking and chasing payments   Experience of working with a range of event suppliers desirable  Experience delivering events preferable, within a unique cultural/heritage venue with public spaces   SKILLS Exceptional communication skills, both verbal and written, with the ability to adapt communication styles accordingly  Excellent prioritisation and time management skills, with ability to work under pressure   Strong attention to detail with an ability to multitask and adapt to change   Continuous improvement mindset, willing to question processes and make suggestions     Excellent interpersonal skills, able to build and maintain effective working relationships with clients and colleagues at all levels   Ability to work both independently and as part of a team

In this role, you will support the delivery of marketing campaigns across a wide range of channels, helping to raise brand awareness, engage audiences, and drive attendance and revenue. Working closely with the Senior Marketing Managers, you will assist with campaign planning, coordination, production and reporting. The ideal candidate will be a confident communicator with strong attention to detail and experience supporting multi-channel marketing activity.
    Key Responsibilities Supporting Marketing Planning and Coordination
    Work closely with the Somerset House Marketing & Audiences team to develop and deliver integrated marketing plans that promote our programmes, exhibitions, events, and commercial activity.

    Manage project timelines and coordinate with internal and external stakeholders to keep projects on track.

    Marketing Project Ownership: young people offers and initiatives
    Take responsibility for delivering marketing initiatives for young people programmes, ensuring all activity, is delivered on time, accurately, and in alignment with objectives.

    Coordinate marketing requirements across internal teams, synthesising needs into clear timelines, deliverables, and communications to support smooth and effective delivery.

    Write clear, audience-focused copy and ensure messaging aligns with the wider strategy and is consistent across email, social media, website, and other campaign touchpoints.

    Delivering Email Marketing Activity
    Lead the day-to-day delivery of the email marketing function, including ownership of the central email communications planner across all business areas (cultural programme, commercial events, Studios, Development, Residents and Visitor Experience).

    Coordinate email requirements across teams, synthesising campaign needs into clear and strategically timed communications that support organisational priorities 

    Plan, create, write, and schedule email campaigns that are audience-focused, accurate, engaging, and aligned with brand objectives and the wider audience strategy.

    Ensure all email content meets best practice in segmentation, personalisation, testing, accessibility, and performance optimisation.

     

    Assisting with Creative and Content Production
    Work with the Design team and Content Specialists to produce visually compelling visual assets and marketing materials.

    Use existing creative templates to produce simple marketing assets in Canva, ensuring accuracy, consistency, and alignment with brand guidelines.


    Reporting
    Stay informed on sector trends, audience behaviours, CRM developments, and emerging marketing tools, sharing insights and recommendations with the wider team.

    Monitor, evaluate, and report on campaign performance and audience behaviours using analytics tools, providing data-driven recommendations to optimise future activity.


    Supporting Budget and Project Administration
    Track project scope and budgets and provide weekly updates, and ensuring accurate processing of receipts, invoices and purchase orders. 
    Skills, knowledge & expertise required for the role: Experience:
    Experience working in a marketing or communications role, ideally within the arts, culture, or creative industries.
    Experience using marketing technology such as CRM systems (Tessitura), email marketing platforms (Wordfly), analytics tools and content management systems, with confidence working with data, learning new systems, and troubleshooting basic issues as part of day-to-day campaign delivery.
    Experience supporting marketing activity across multiple channels, including writing copy and creating or adapting visual assets for marketing communications.
    Experience working collaboratively across teams, with the ability to manage multiple tasks and deadlines effectively.
    Experience using creative tools such as Adobe Photoshop, Canva or InDesign is desirable.

    Skills:Strong understanding of core marketing principles and digital marketing practices.Excellent written and verbal communication skills, with the ability to produce clear, engaging, audience-focused content.Good creative judgement with a keen eye for design and visual detail.Strong organisational skills with excellent attention to detail.Ability to interpret data and use analytics to inform insights and reporting.A proactive, self-motivated approach and the ability to work effectively as part of a team.An interest in arts and culture and alignment with Somerset House’s mission and values.

    The Brand Partnerships Manager will play a pivotal role in identifying, developing, and maintaining corporate sponsorship and brand partnerships that align with Somerset House’s mission and artistic objectives. This includes cultivating new business, managing existing relationships, and coordinating the delivery of partnership activations across a variety of events and projects. The role will work closely with internal teams and external partners, ensuring seamless collaboration and successful execution of partnership strategies. The Development team has a particularly strong track record for working with sponsors and brand partners across some of London’s most exciting and culturally relevant events and exhibitions.  These include the Summer Series with American Express, SKATE, The Morgan Stanley exhibition – The Missing Thread and our partnership with Hennessy on the Get Up, Stand Up Now exhibition, which won Best Use of Sponsorship to Encourage Diversity & Inclusion at the UK Sponsorship Awards. Somerset House does not receive any regular public funding, therefore income from sponsorship is especially important to enabling us to realise our ambitions for the cultural programme. Somerset House’s Development team is close to the action and works closely with Programming teams, Marketing & Communications as the cultural programme is shaped and delivered. Whilst the Development team is small, we collaborate with a wide range of agency partners, which adds to the breadth of the role. 
    What you'll be doing: New Business Development, Outreach & Sales Support the delivery of Somerset House’s Brand Partnerships strategy, working with the Senior Brand Partnerships Manager to meet agreed income targets. Proactively identify and cultivate prospective brand and agency partners across sectors aligned with Somerset House’s programmes.  Build and maintain a healthy new-business pipeline informed by market insight, trend monitoring and competitor analysis. Represent Somerset House at industry events, meetings and networking opportunities to raise visibility and generate new leads. Undertake initial outreach to prospective partners, including cold approaches where appropriate. Working with the Development Coordinator, research brand prospects in accordance with due diligence processes and produce detailed reports to support cultivation and engagement  Build and manage a personal portfolio of brand and agency prospects, using systematic processes to identify, cultivate and convert new partnership opportunities.  Secure brand partnerships and sponsorships at the five and six-figure level to support Somerset House’s development targets.  Work with internal teams to shape and refine partnership products, opportunities and assets, ensuring they meet market needs and appeal to brand partners.
    Sponsorship Rights, Pitching & Sales Work with internal teams to gather project information, understand rights and assets, and help shape partnership packages. Develop tailored, creative proposals and pitch materials that align partner objectives with Somerset House’s mission and creative programmes. Support the Senior Brand Partnerships Manager and Head of Development with negotiations and contracting, ensuring agreements are accurate, timely and compliant. Maintain current knowledge of trends in sponsorship, brand partnerships, marketing and cultural collaboration.
    Account Management & Activation Act as day-to-day contact for selected partners, providing outstanding partner care and ensuring relationships are managed professionally, positively and responsively. Manage renewal cycles for existing partners, identifying opportunities to extend, enhance or grow partnerships in line with organisational priorities.  Coordinate partnership delivery across departments, ensuring contractual rights and benefits are fulfilled to a high standard.  Assist with the planning and execution of activations, working with colleagues across Marketing & Communications, Production, Programming teams and Visitor Experience. Produce timely and insightful reporting and evaluation materials for partners. Maintain accurate records of all activity, contacts, proposals, contracts and financial information using Tessitura and internal systems. Provide regular reports, updates and analysis on your portfolio including financial reporting and pipeline analysis. Liaise with Somerset House Trust's Head of Legal to draft and issue sponsorship and partnership contracts. Working with the Development Coordinator, request and process invoices and monitor payment schedules of brand partners and sponsors. Work collaboratively across Somerset House to ensure brand partnerships contribute positively to artistic, commercial and public objectives. General Responsibilities Contribute to a culture of partnership excellence, upholding high standards of stewardship, service and relationship management. Champion the value of brand partnerships internally, helping colleagues understand how they support Somerset House’s wider mission. Undertake any other duties reasonably required in support of the Development team and Somerset House’s organisational objectives. 
    We are looking for someone who has: Experience & Knowledge
               Essential Demonstrable track record of securing brand partnerships or sponsorships at the four- and five-figure level, working to commercial income targets. Experience cultivating and managing partnerships in a brand, agency, commercial, cultural or not-for-profit environment. Evidence of delivering strong stewardship and relationship-building activity, leading to renewals or partnership growth. Strong understanding of marketing, communications and audience engagement principles, especially how brands activate within cultural or creative contexts. Familiarity with partnership rights, approval processes, brand governance and asset management. Knowledge of GDPR, data protection and relevant aspects of the Fundraising Regulator’s Code of Practice, where applicable.

    Desirable Experience managing brand partnerships in a cultural or creative organisation. Experience developing or shaping new partnership products or packages. Experience securing higher-value partnerships (six-figure and above). Experience working within the arts, culture, media or creative industries. Strong financial literacy, including experience reporting on partnership value, income forecasting and pipeline management. Experience collaborating on or delivering co-branded marketing campaigns, social content plans or creative activations. Skills
    Creative, Communication & Presentation Skills Excellent written communication skills, with the ability to craft compelling proposals, pitch decks and partnership narratives. Demonstrable ability to generate creative partnership ideas, content concepts and activation approaches that align partner and organisational goals. Confident presenter, able to communicate persuasively with brands, agencies and senior stakeholders. Ability to translate complex artistic or cultural projects into clear, commercially relevant opportunities for partners. Relationship Management & Collaboration Strong stakeholder management skills, including negotiation, expectation setting and relationship building at all levels. Excellent networking skills and confidence representing Somerset House externally. Collaborative working style, able to work effectively across marketing, programme, production and communications teams to deliver integrated partnerships. Organisational & Operational Skills Meticulous attention to detail and consistently high standards of accuracy. Strong administrative and project-management skills, with the ability to manage a varied workload and meet deadlines. Confident CRM user (ideally Tessitura), with the ability to maintain accurate contact, financial and pipeline records. Ability to act with tact, discretion and professionalism at all times.
