    What to ExpectAs our Belfast team continues to grow, we are looking for a dedicated on-site Office Coordinator to take ownership of all office management responsibilities and create a well-supported, engaging workplace.You will play a key role in ensuring a productive and organised environment, overseeing daily operations, and managing office resources. Your role will contribute to team morale and efficiency, making sure the office is a great place to work.This is a role with genuine impact on team culture and day-to-day experience, offering plenty of autonomy, variety and trust to proactively improve our London workspace. You’ll be part of a collaborative, people-first team that values positivity, initiative and a roll-up-your-sleeves attitude, with the opportunity to help shape the office and team experience as the company grows.
    What You’ll DoOffice Operations – Manage day-to-day office activities with a strong onsite presence (5 days per week in the office).
    Meet and greet visitors to the Raylo Office.Serve as the go-to person for all office-related queries, ensuring an efficient and well-supported workplace.Be the heartbeat of the office, ensuring the day-to-day running of the workspace is smooth, organised and welcomingManage all incoming deliveries, making sure they’re collected promptly and handled appropriatelyKeep the office well stocked with groceries, healthy snacks and drinks, as well as all essential office suppliesProactively maintain a clean, tidy and well-organised workspace to consistently high standardsCreate a warm and positive experience for new joiners, helping them feel welcome from day one Supporting the Talent team with on-site interviews.

    Facilities Management –  Own the smooth running of office facilities to support a productive workplace. 
    Act quickly on any ad-hoc office issues, from Wi-Fi and air conditioning to furniture or equipmentBuild strong working relationships with external service providers, confidently raising and escalating issues when needed

    Resource & IT Management – Maintain office supplies, work closely with Belfast based Head of IT to manage IT hardware setups/returns in London, and oversee general admin support.

    Event Coordination – contributing to company meetings, office events, and company-wide initiatives.
    Be a key member of The Raylo Culture CommitteeSupport and help organise team social events, championing the social calendar and encouraging team participation 

    You’ll Succeed With
    1+ years of experience in Office Management – or a similar hands-on, operational roleStrong Organisational Skills – Ability to multitask and with the ability to manage multiple priorities in a fast-moving environmentCommunication & Stakeholder Management – Strong interpersonal skills to engage with all levels of the organisation, including senior leadership. A proactive, positive, can-do attitude, taking initiative and addressing issues before they escalate. Strong interpersonal and communication skills, with a genuine passion for creating a welcoming environment and contributing positively to office cultureEvent Management Skills – Comfortable organising team events and company initiatives. Experience supporting and coordinating events, from team socials to company-wide meetings Ability to work within a budget, managing spend responsibly across weekly and monthly office restocks and social initiatives.Technical Proficiency – G-Suite proficientBasic IT Knowledge – Comfortable with setting up and managing IT equipment for the office.     What to Expect
    This is a newly created role designed to own and optimise Raylo’s reverse logistics and device management operations,  a crucial area for margin protection and sustainable growth. Reporting to our VP of Operations, you’ll partner across Legal, Finance, Risk Strategy, and Commercial teams to improve performance, reduce fraud, and build a scalable operational function.You’ll build new processes from scratch, lead the rollout of key integrations (like Apple Business Manager), and negotiate with external suppliers to improve performance. The impact? A data-led, commercially impactful function that plays a vital role in Raylo’s circular tech model. In the longer term, you’ll shape the strategic direction of device management operations, with career progression into broader supply chain, risk, or commercial leadership roles.
    What You’ll Do

Your mission is to ensure that the right tech products are always available, in the right place, at the right time, to meet our customers’ expectations and support our rapid growth.This is a high-impact, hands-on role where you’ll lead strategic and operational initiatives across our circular supply chain. You’ll work directly with suppliers, fulfilment partners, and internal teams to optimise availability, reduce friction, and enhance performance across stock, fulfilment, and logistics. Your work will directly influence inventory health, customer experience, and overall supply chain efficiency, all in support of Raylo’s circular and sustainable business model.What You’ll DoOwn and drive key supply chain strategy and operations projects end-to-end, with a focus on availability, inventory performance, and fulfilment efficiency.Lead day-to-day and mid-term supply planning across a dynamic supplier network, covering 1,500+ SKUs and 40+ partners.Align supply with leasing forecasts and commercial planning to maintain optimal stock levels and availability.Design, build and maintain planning tools, dashboards, and performance reporting to enable data-led decisions across the team.Support the operationalisation of new suppliers, products, and fulfilment capabilities, including integration and go-to-market readiness.Track and improve performance metrics such as product availability, inventory days, inbound quality, and loss mitigation.Identify risks and bottlenecks in the supply network, developing proactive mitigation plans and scalable fixes.Collaborate cross-functionally with Product, Commercial, Finance and Ops teams to align supply strategy with broader company goals.Build strong, trust-based relationships with third-party suppliers, ensuring accountability and high performance.

    You’ll Succeed With3–5 years’ experience in supply chain operations, supply planning, or logistics, ideally in fast-paced environments like FMCG, consumer electronics, or tech platforms.Strong analytical foundation – you’re confident working with tools like Excel, Looker, Amplitude or similar to drive insight and guide decisions.Degree-level education, ideally in a STEM or analytical field (e.g. Engineering, Maths, Economics, Data Science).Experience managing supply complexity, including multi-supplier networks and broad SKU ranges.A detail-oriented mindset with commercial acumen and a sharp eye for optimising cost, service levels, and stock health.A self-starter attitude – you take ownership, run with problems, and iterate quickly to improve systems and processes.A collaborative style – you work well with cross-functional teams and suppliers, and you’re comfortable influencing at all levels.Alignment with Raylo’s mission – you care about circularity, sustainability, and building a better way to access technology.
