All Formats is a part of Queen Alexandra College. QAC is a college that supports students with a wide range of Disabilities. Any profits generated by All Formats go directly back into the college to help enhance our students learning journey.

    We are seeking a Transcriptions Officer to provide a high standard of confidential work, to provide an efficient and timely service to external stakeholders and clients. The post holder will be required to transcribe highly confidential information into large print and other accessible formats.

    As an entry level position no prior experience is required as full training will be provided, however a high level of competence in Microsoft Office software such as Word is a must. Good verbal and written communication skills and excellent time management and organisation skills are also required. A customer-focused approach combined with excellent attention to detail and an ability to work accurately and calmly under strict deadlines is essential. Candidates must be flexible to assist in meeting fluctuating deadlines across various areas of the business.

    Please note that this role usually consists of an interview and in tray exercise.

    Key Responsibilities Duties and Key Areas of Responsibility

    ·         To provide required transcriptions for all live projects, ensuring these are produced within Service Level Agreements.·         Daily, reconcile the delivery with client’s instructions; prepare received data for scanning and the transcription process.·         Use a wide variety of specialist software to produce items in the preferred format.·         Prepare and complete basic maintenance on equipment to be used for transcription purposes (e.g. printers, Braille embossers, scanners)·         Liaise with colleagues and manager to ensure the department is aware of the outstanding work against the SLA’s.·         Liaise with clients regarding live projects and within the team assist with providing daily and monthly reports.·         Collate relevant data on completed jobs, in preparation for invoicing.·         Follow essential security protocols as necessary for the business.·         Respond to incoming enquiries from potential clients via email and/or telephone, providing information and/ or quotes as required.·         Monitor All Formats stock levels for transcriptions stationery and postal service, informing relevant individuals to ensure orders can be progressed.·         To facilitate with postal duties, as commensurate with the role.·         Provide support for a range of QAC Enterprise activities, and represent the team at events, where this is deemed appropriate.·         Occasionally, distribute printed marketing materials for College Enterprises.

    General Duties

    ·         As part of QAC’s process of continuous improvement; work with the All Formats Manager to implement projects/ initiatives to improve the All Formats enterprise and services.·         Adhere to the College’s Health and Safety Policy at all times, recognising responsibility for own safety and that of others.·         Act at all times in accordance with the Staff Code of Conduct and QAC Values of Respect, Excellence, Enabling, Collaboration and Inclusion.·         Comply with all College policies and procedures.·         Maintain CPD and undertake appropriate training and development as required, including any mandatory and/or refresher training required for the role.·         To undertake other duties as commensurate with the role and in agreement with the All Formats Manager.
    Transcriptions Officer (Extended Role) will undertake the Core Role Responsibilities above, but in addition will demonstrate the skills and experience necessary to undertake a wider role across the full range of formats (Large Print, Audio, Braille), including;

    ·         Preparing and transcribing documents across the full range of formats.·         Support on the job training and quality control/consistency checking of documents for new Transcription Officer colleagues.·         Producing reports, as requested by the Team Leader and/or All Formats Manager/Deputy Manager.·         Undertake training and/or qualifications to develop specialist skills and expertise e.g. Braille.·         Undertaking designated work or ad hoc projects, as determined by the All Formats Manager/Deputy, in line with specialist skills and experience.·         Cover the Transcription / Production areas in the absence of Team Leaders, including assigning work, ensuring work is completed within SLA and any issues are reported to All Formats Manager.

    DescriptionTo be responsible for leading and managing the healthcare provision across both the academic and residential services and to line manage staff within the Healthcare Team (including registered nurses and unqualified assistant posts). To support the assessment, planning, implementation and evaluation of health needs and take a lead role in developing, implementing and measuring the effectiveness of healthcare protocols, policies and procedures across QAC. Some elements of this role may involve directly supporting students with their healthcare needs.

    37 hours per week/52 weeks. The post will be Monday to Friday primarily
    Direct Reports: Healthcare Team (including Registered Nurses x 3 and Healthcare Assistants x 3)
    PP 20 – 24 (£39,403.52 - £44,078.84 p.a.
    Key Responsibilities To lead the day to day operational running of the Healthcare provision, ensuring that students’ health needs are adequately supported and well co-ordinated.  To assist with ensuring full compliance with CQC Regulations in relation to regulated activities, with particular reference to the treatment of disease, disorder or injury.  Work autonomously using clinical expertise to assess, treat or refer appropriately while working within one’s own scope of practice.  Actively contribute to developing and implementing policies and procedures relating to medication management across all areas of QAC, including regular audits within the healthcare and residential services and oversight of all medication incidents.  To provide professional advice and guidance in respect of healthcare needs and protocols, on a day to day basis, which contributes to the planning and assessment of support needed for new services and/or developments, in line with QAC’s strategic direction.  To work in conjunction with the HR Training Department to develop and provide a range of training and guidance to staff that reflects the health needs of the students, particularly any for statutory, regulatory and/or other healthcare requirements.  To ensure the healthcare related staff training meets the strategic direction and student needs, making recommendations when significant changes or developments are required (e.g. either for internal training, external training providers or alternative methods of delivery). To carry out  regular team meetings, supervisions and appraisals and support the development of staff within the Healthcare team.     Job Purpose
    To support college systems and processes around timetabling in order that student timetables are accurate and reflecting any changes and also to ensure accurate register and attendance monitoring. Working with Assistant Principals, CAMs/SAMs to ensure that timetables are correctly reflected and adjusted throughout the academic year. To ensure accurate timetabling records and proactive planning. 
    Key ResponsibilitiesCore Responsibilties:
    ● Work closely with APs, CAMs, SAMs, Line Managers to coordinate and develop timetables across PFL, LEAP, Vocational and A2P Curriculum Areas and Parallel Curriculum. 
    ● Use MIS/College Management systems to create timetables for all students. 
    ● Demonstrate effective communication with a range of internal and external stakeholders 
    ● Support records and reporting in line with the College and stakeholder requirements, including the DfE and Local Authority.
    ● Support and liaise with tutors and Student Support staff where necessary to ensure accurate planning and development of timetables.
    ● Undertake self checking and audit of work to ensure the College’s continued reputation for excellence. 
    ● Liaise with internal stakeholders to ensure accurate and timely updating of all enrolled students (including Learner Journey team, Attendance and Engagement Officer CAMs/SAMs and APs)
    ● Complete regular audits of timetables in conjuncture with the Quality team including compliance audits of funded provision
    ● Contribute to the ILR completion ensuring timetables meet planned learning hours for funding.

    Administration:
    ● Manage manual and computerised record/information systems including updating Databridge MIS.
    ● Undertake typing and word-processing, photocopying, filing and complex IT based tasks.  
    ● To have knowledge of Databridge MIS, emails and Microsoft applications.

    General

    information.  Queen Alexandra Charity (QAC) provides education, residential support, community services and enterprises in support of young adults with learning difficulties and disabilities.  

    Education is provided through a national residential College  that supports a diverse range of student/client abilities and needs.  Our College provides education, training, routes to independent living and employment through an innovative, holistic approach to learning and support. It  offers a vibrant, varied and fun educational experience for both residential and day students. Our curriculum aims to maximise adult life, independence and work opportunities for all students. Class sizes are small and support levels high. 

    We have educational and learning sites based in Birmingham, one of Europe’s most welcoming and vibrant cities, with a rich and diverse culture. Our main site is based in Harborne, a pleasant leafy Birmingham suburb, on a friendly and green 8-acre campus with excellent facilities and resources.  In addition we also have Pinewood Campus which is located on a business park and is designated to employment progression.

    Clients within our Residential Services programme still require support and the aim is to deliver a service that provides them with the means to live independently/semi independently into the future. Many clients are either in education, voluntary work or paid employment not linked to QAC directly. 

    Our Community Services based at our Umberslade Campus in Stirchley include a supporter worker service, women's group, men's group,  LGBTQ plus group, Saturday Socials, The Night Owl Experience (disability friendly night club visit in Birmingham City Centre).

    All students, clients and staff are supported within safe and well-resourced environments.
