Using your excellent administrative and organisational skills you will support the team to promote and delivering a range of services directly to vulnerable children and families with complex risks and needs.  The Hub Team comprises: Practitioners, Team Managers, Hub Relationship Manager, Senior Administrator,part-time Administrator and an Assistant Director. You will be part of the Management Team and will provide regular supervision for the part-time Administrator. You will also: organise and minute Management meetings assist with organising Development Sessions/Days/Events coordinate all Health and Safety facilities requirements for the Hub support in the delivery of the regional/national EDI action plan.     About Better Start The Blackpool Better Start partnership is one of five locations in the UK to receive funding from the National Lottery Community Fund to support initiatives in early intervention and prevention for the early years. The partnership brings together the NSPCC, Blackpool Council, NHS health organisations, Police, local parents and community organisations to collaboratively make the sustainable changes needed within services and systems supporting early years to ensure every baby has the best start in life. The vision and ambition of the partnership has been translated into action and results, with the leadership and strategic direction to the partnership being provided by the Centre for Early Child Development (Better Start). The Centre brings together experts through multidisciplinary teams which includes, Programme and Community Development, Research and Evaluation, Communications, Business Support and Data Management. The centre is responsible for the design, development, and implementation of a range of evidence-based programmes and community-based initiatives on behalf of the Better Start Partnership. A range of initiatives which support families in relation to Diet and Nutrition, Speech Language and Communication and Social and Emotional Development have been co-developed, implemented and tested for impact in Blackpool. Better Start is able to combine early years science and evidence with designing and delivering front line services that reach families and children at the right time. The creative approach refined in Blackpool is now being cascaded to other organisations, supporting decision makers to focus on improving children's outcomes, the importance of early education for young children and building parental capabilities. The Property department has responsibility for all real estate, facilities assets, services and resources to enable the core NSPCC services and other supporting departments to function as productively as possible within the workplace. The Postal Services Coordinator functions at an operational level but individuals must have the ability to provide ad-hoc duties as required by management. Job Purpose Provide and maintain logistical postal and courier services that meets or exceeds the Society's expectations and requirements Provide and maintain all reprographics services (internal and external) that meets or exceeds the Society's expectations and requirements Provide and maintain all stationery services that meets or exceeds the Society's expectations and requirements Provide ad-hoc cover as required to other facilities related services and functions Provide an excellent customer service experience by being empathic, organised, calm and resilient when dealing with all customer enquiries. What will I be doing as a Postal Services Coordinator? Collect, open (where applicable) and sort Royal Mail or equivalent postal deliveries ensuring governance process (dual handling, date stamping etc.) is adhered too at all times. Sign for and document for all courier and specialist postal deliveries ensuring an audit trail is maintained from point of delivery within the post room to final recipient within the Society. Deliver all mail items to set collection points within the building and within agreed service levels.  Maintain and top-up postage on the franking machine as required ensuring the machine is functional. To provide quotations, customer authorisation (acceptance of quotations) and book couriers as required by Society operatives. Provide quotations to Society customers, obtain written customer authorisation (acceptance of quotations) and book couriers as required by Society operatives. Provide quotations to Society customers, obtain written customer authorisation (acceptance of quotations) and book reprographic printing jobs as required by Society operatives. Wherever practical, provide in-house reprographic services upon customer requests.  Maintain all MFD's ensuring that they are functional minimising down time of the assets. E.g. cleaning glass, changing toners, changing toner collectors and clearing paper jams. Monitor Xerox MFD's via the software package ensuring that machines are adequately stocked and fault free. Complete weekly stock checks and ordering where applicable on all standard stationery items ensuring an adequate rolling stock level is maintained onsite at all times. Tidy and organise stationery points for ease of use by end user and Postal Services Coordinator. To maintain a tidy and safe working environment. Answer telephone and email enquiries as required and within agreed service levels. To fully adhere to the standards as stipulated in the postroom operating procedures. To work provide a seamless service, communicating to make sure all duties and tasks are completed. To set up the main conference room configuration as required and support any other meeting room services as required. Upon request via management, to support and administer other facilities functions to support the team and other colleagues as required. Spot check and validate invoice information upon management request. Make requests, as required for assistance from other facilities personnel (via applicable managers) to ensure the smooth running of all post room services. Raise PO's and receipt orders as required to ensure the smooth running of all postroom services. What skills do I need to be a Postal Services Coordinator? Working knowledge of Microsoft and Office application package (Word, Excel and Outlook) Experience on running reprographic, postal and courier services. Excellent interpersonal and communication skills. Ability to prioritise a range of conflicting tasks. Trained on manual handing, first aiders and fire marshals. Ability to act professionally under provocation, exercise patience, courteousness, and flexibility and be sensitive to customers.  Smart and tidy appearance. Possess a “can do” attitude whilst exercising caution as not to over commit to unrealistic targets and thus raising customer expectations.
