The role blends reception, scheduling, and light facilities coordination with strong safety and security awareness. What you'll do Reception & Customer Service Welcome patients, families, clinicians, contractors, and visitors; check ID where required. Answer and route calls professionally (“Good morning/afternoon [Service Name]”), take messages for on-site staff, and direct external queries to the correct services. Monitor shared reception inboxes and information folders; maintain helpful phone lists for front-desk use. Support prescription collections in line with identity and data-collection checks. Appointments, Rooms & Daily Flow Manage bookable rooms via the site's online room-booking system; print weekly schedules for staff, track usage/no-shows, and keep rooms locked when not in use. Coordinate occasional bookings at partner sites when required. Prepare and tidy reception areas; support group clinics with forms, clipboards, and return/clean processes. Safety, Security & Emergencies Follow local emergency procedures; support weekly fire alarm testing and evacuations, including assembly point coordination and visitor roll-call. Respond appropriately to panic/pin-point alarms, intruder alarms, and security concerns, escalating to security/police via agreed protocols. Maintain high-visibility items, visitor books, and incident/false-alarm reporting forms. Understand the location of crash/resus equipment and first-aid boxes; keep signage and notices current. Facilities & Building Support Log and track maintenance, cleaning, waste, grounds, and window services via the facilities helpdesk; escalate urgent issues (e.g., lifts, automatic doors). Support basic door/entry and key management procedures (key safes, server/switch/plant rooms) in line with site policy. Oversee end-of-day procedures: secure doors, cabinets, keys, and reception areas. Coordinate with contractors: check work orders/permits, ensure sign-in, and arrange appropriate escorting. Assist with specimen collection handover windows in line with clinical protocols. Keep simple stock: hearing-aid batteries (NHS only), stationery, and basic clinical consumables (e.g., couch rolls) as directed. Support cyclical tasks (e.g., curtain changes, hoist service visits) by arranging access and notifying relevant teams. IT/Telephony & Office Support Operate a multi-line phone system, including basic voicemail setup support; raise telephony faults with IT Service Desk. Follow quick-reference guides for internal/external dialling and common features. Maintain printers (consumables ordering) and raise basic IT faults to the designated support desk. Assist with post handling and internal courier collections in line with current site arrangements. Parking & Access Help issue daily/annual staff parking permissions in line with policy; sign out short-term fobs and track returns. Liaise with the parking contractor on day-to-day matters where needed. Record-Keeping & Compliance Keep accurate logs: visitor/contractor sign-ins, room usage, key/fob loans, incident forms, and weekly reports required by Site Operations. Handle information discreetly, following confidentiality, safeguarding, GDPR, and health & safety policies. About you Proven experience in reception, front-of-house, facilities coordination, or a busy administrative role—ideally in healthcare, education, public sector, or similar. Calm, warm communicator who can support vulnerable service users and de-escalate challenging situations. Confident with multi-line phone systems and standard office software; able to follow technical quick-guides. Highly organised, reliable with keys/access processes, and attentive to detail in logs and reports. Safety-minded and comfortable acting quickly during alarms and evacuations. Able to build great working relationships across multiple partner services (e.g., CAMHS, Community Paediatrics, Therapies, Imaging, Podiatry, Speech & Language, Orthoptics). It is essential that safety and quality control standards are maintained throughout all projects. Ideal applicants will have previous experience of fire door installations and at least 2 years' experience in joinery. Successful applicants will also possess FIRAS – Timber Fire Doors, FIRAS – Fire Door Maintenance, FIRAS – Composite Doors, CSCS Card (Blue or above), NVQ Level 2 or equivalent in joinery or another relevant trade.
