Key ResponsibilitiesAdministrative & Operational SupportProvide administrative support to the Operations, Production, and Maintenance teams.Prepare and maintain production reports, shift summaries, and daily performance logs.Maintain up-to-date documentation for operating procedures, safety manuals, and training records.Assist in scheduling meetings, preparing agendas, and distributing minutes or reports.Documentation & ComplianceSupport the maintenance of compliance records for OSHA, EPA, and Process Safety Management (PSM) requirements.Maintain Material Safety Data Sheets (MSDS/SDS) and ensure they are accessible and current.Assist in preparing and filing reports related to safety, environmental compliance, and audits.Track and record training certifications, inspections, and permit renewals.Inventory, Purchasing & Logistics CoordinationAssist with procurement of raw materials, spare parts, and plant supplies through coordination with purchasing and suppliers.Track incoming and outgoing materials; verify delivery receipts and maintain accurate inventory records.Coordinate with warehouse, shipping, and receiving to ensure accurate documentation and scheduling.Support inventory reconciliations and month-end reporting.Data Entry & Systems ManagementEnter and maintain accurate data in ERP or manufacturing systems (e.g., SAP, Oracle, or similar).Generate reports for production efficiency, downtime, and key performance indicators (KPIs).Assist in managing plant records, work orders, and preventive maintenance schedules.Communication & CoordinationServe as the communication link between operations, quality, maintenance, and administrative departments.Support coordination of visitors, contractors, and training sessions on-site.Handle general correspondence, memos, and internal communications related to operations.Health, Safety & Environmental SupportSupport the EHS department in organizing safety meetings, audits, and emergency drills.Maintain accurate records of incidents, corrective actions, and safety observations.Ensure compliance documentation is properly filed and accessible for inspections or audits.QualificationsEducation:Experience in an industrial or manufacturing administrative role may be accepted.Experience:2–5 years of administrative experience in a manufacturing or chemical plant environment.Familiarity with chemical industry regulations, safety documentation, and PSM systems preferred.Experience with ERP systems (SAP, Oracle, or similar) and Microsoft Office Suite (Excel, Word, PowerPoint).Skills:Strong organizational and multitasking abilities.Excellent attention to detail and accuracy in documentation.Good understanding of manufacturing processes and terminology.Strong communication and interpersonal skills.Ability to handle confidential and compliance-related information responsibly.Performance MetricsAccuracy and timeliness of production and compliance documentation.On-time completion of reports, audits, and data entries.Efficiency in supporting operations and communication between departments.Compliance with safety and regulatory recordkeeping standards.Internal and external audit performance.
