    DescriptionWorking as part of a team, you will be required to provide an excellent standard of secretarial support to the Newcastle team.  You will also be required to provide support across the other practice groups as and when required. Working individually and as a team to act as a point of contact for lawyers and to ensure the effective completion of their work, as well as undertaking a variety of secretarial tasks (as listed below). Provide a high quality, comprehensive workflow management and organisational service to lawyers in the group and exceptional client service.
    Key ResponsibilitiesClient Relationship ManagementResponsible for keeping up to date with client specific protocols and processes, implementing, providing guidance and training to others where necessary and ongoing monitoring.Administrative Handle outgoing correspondence including electronic communications and encryption of documents using secure data transmission methods in line with client requirements. Manage/General knowledge of external Client's case management system including adding outgoing correspondence and associated documentation on behalf of fee earners and mitigate commercial risk.  Collate enclosures for outgoing correspondence, instructions to Counsel, experts etc using electronic bundling and encryption software. General knowledge of case management system including running ad hoc documents.  Liaise with external parties regarding enclosures/encryption/discs/assisting with use of secure systems and supply passwords – specific to clin risk? Email management – filing, saving, locating, deleting, responding where applicable and referring incoming mail to others as necessary and managing Inbox on behalf of colleagues as and when required. Print, file, photocopy, scan, fax and archive documents as and when requiredEnsure that client contact information is kept up to date.
    Update document bundles for fee earners. Keep case files organised and logical. Assist with incoming billing and accounts queries. Answer and make telephone calls. Book client meetings. Assist with the planning and booking of travel arrangements. Assist with ad-hoc business development and communications activities e.g. client contact reports, delegate packs etc. Maintain a level of individual knowledge required for the role.  Occasional preparation of correspondence and documents from digital dictation.  Help maintain a clean office and clear desk. Handle confidential information in line with the firms data security protocols.

    Communication Key point of contact for lawyers to maintain relationships and ensure a high level of support is always provided by the team.  Monitor post and/or emails and dealing with as appropriate ensuring all client related correspondence is passed on to an appropriate lawyer and actioned as necessary; proactively responding to and drafting responses on behalf of others, prioritising emails, collating necessary paperwork and e-filing. Liaising with and providing support to their immediate colleagues in the department, and where practical, other legal and support departments as requested by STL. Assisting others where there is spare capacity or it is evident that a colleague needs assistance with their workload. Answering phone calls for other members of the team when they are away from their desk. Liaison with and taking direction from your STL. Liaise with the STL over any planned absences, arranging cover as necessary and communicating this to the relevant lawyers. Financial Assisting lawyers with billing related tasks. Reviewing and updating time allocation and disbursements ensuring appropriate matter allocation. Request cheques, bank transfers, and paying in money received, as appropriate. Supporting the co-ordination of the WIP process. Dealing with matter related finance administration to include BACs, TTs etc. Processing expenses.
    Customer Service Arranging and attending team meetings. Liaising with lawyers, STLs and Secretarial Managers (SM) to take instruction and liaise on work requirements.  Consistently and appropriately update service users on progress where appropriate. Regularly offer assistance wherever possible.

    Key ResponsibilitiesData Entry Administrator Accurately input case data provided by the team or through self-investigation of the file history into DACB’s Case Management System (Visualfiles).  Assist with the upload of documents and information to client portals.  Assist with file openings and inputting key data points upon instruction. Ensure data integrity and consistency across all systems and client platforms.  Monitor and track case progress using purpose built reports to ensure compliance with internal and client requirements.  Assist with generating simple reports or summaries as needed.  Handle confidential information in line with firm and client data security policies.  Collaborate with team members to meet deadlines and deliver a high-quality client service. Support lawyers and the wider team by providing timely administrative and MI-related assistance.

    Key ResponsibilitiesClient Relationship Management Manage the production of documents and check returned work produced by the CTU team/speech recognition for accuracy/formatting, before it is passed to the relevant lawyer. Taking and making client related calls, dealing with and handling message taking as appropriate. Responsible for keeping up to date with client specific protocols and processes, implementing, providing guidance and training to others where necessary and ongoing monitoring. Administrative Responsible for files to be opened and closed and supervise general filing requirements and record keeping and production of engagement letters ensuring compliant at all times. Monitor and track key dates for clients and ensure compliance procedures are up to date on all files and matters. Support lawyers in business development activities including the involvement in preparation of pitches and presentations, scheduling meetings e.g. tenders, internal client, etc. Manage diaries, ensuring they are up-to date, anticipating requirements e.g. associated travel /accommodation bookings, meeting rooms, drafting itineraries, preparing agendas, preparing and circulating papers. Produce and maintain Excel spreadsheets as required. First point of contact for their team, dealing with queries and acting on initiative to provide exceptional client service, promoting and developing ownership within the teams. Arrange for the preparation and collation of internal sector newsletters and briefings. Uploading documents to PDF docs and editing documents using the same. We are actively involved in litigation in all levels of the English courts. We also co-ordinate litigation through our extensive network of lawyers throughout the world.  We are seeking to recruit a Legal Secretary into the team to provide support to around 11 Fee Earners. The team currently comprises around 7 Partners, 6 Legal Directors, 5 Senior Associates, 3 Associates, 8 Solicitors, 2 Trainees, 1 Chartered Legal Executive, 5 Paralegal and 3 Secretaries. Working as part of a team, you will be required to provide an excellent standard of secretarial support to the Commercial Dispute Resolution team. You will also be required to provide support across other practice groups as and when required.
    Key ResponsibilitiesThe main purpose of this role is to provide an excellent standard of secretarial support to fee earners across the specified practice.  
     
    Able to working independently:  Effectively work with fee earners and secretarial team members as part of a 4 person secretarial team. Effective prioritisation of tasks whilst managing a full workload, including sharing of tasks with other members of the secretarial team. Liaise and build relationships as appropriate with clients and their support staff. Proactively manage diaries. Book client and internal meetings. Prepare correspondence and documents from digital dictation. Answer and make telephone calls. Manage the case management systems used by the team. Opening of files using case management system and/or setting up new client. File, archive, photocopy, scan documents as and when required. Managing outgoing and incoming post and saving to file. Ensure client contact information is kept up to date.  Assist with the booking of travel or hotel arrangements. Proactively assist with ad-hoc business development and communications activities e.g. client contact reports, team sheets, events and delegate packs etc.         Maintain a level of individual knowledge required for the role including online training. Help maintain a clean office and clear desk. Handle confidential information in line with the firm’s data security protocols. Encrypt PDFs and create encrypted CDs, USBs and/or DVDs. Upload documents to Client's Management Systems. Share electronic documentation internally or externally using electronic sharing systems. Prepare bundles – using PDF Docs or BundleDocs.   Submit monthly invoices, working alongside Ebilling, other routine finance matters such as claiming expenses, logging disbursements, arranging electronic payments. Debt management to ensure payments are made of our invoices in accordance with terms and conditions.
    Skills, Knowledge and Expertise Qualified to a minimum of 5 GCSEs (including a grade C in English and Maths) or equivalent. A secretarial NVQ / Diploma or equivalent would be beneficial but is not essential. Previous experience within a legal environment is essential as is a minimum typing speed of 65 WPM. Must have excellent IT skills, particularly in Microsoft packages. Experience of VisualFiles or I-Manage would be beneficial.  Team oriented and collaborative with a flexible, can do attitude. An excellent eye for detail with a concern for quality and accuracy. A focused client service approach. Ability to communicate clearly and concisely orally and in writing. Demonstrable ability to multitask and prioritise a full workload under pressure and the ability to work independently within a team environment.

    DescriptionThe Accounts Assistant will support EPI billing, along with any associated tasks in the billing process. They will work closely with the EPI Account Managers, the EPI team (lawyers and support team) and national finance team to ensure invoices are raised correctly and sent out to the clients in accordance with our the relevant Service Level Agreements.
    Key Responsibilities Support and work with the three EPI Account Managers in the team. Support them in managing departmental billing processes ensuring that time and/or disbursements are processed in accordance with client protocols, ensuring clients are billed the right amounts at the right time. Checking invoices received from our finance team ensuring they have been billed as per the instructions, then forwarding to the relevant clients by email/electronic means in accordance with our Service Level Agreements. Dealing with invoice-related queries from clients in an efficient and professional manner. Assisting the team with queries on financial matters such as billed/unbilled time, disbursements, billing and client account balances. Supporting in running and gathering information for Client Management Information reports. Liaising with our finance team to resolve account queries. Handling confidential information in line with the Firm’s data security protocols.  
    Skills, Knowledge and Expertise Must be organised with the ability to manage and prioritise work within prescribed timescales. Has a proactive and flexible approach. Must have a good eye for detail and excellent numeracy skills A good knowledge of Excel. High standard of written and oral communication skills with the ability to liaise confidently and professionally with clients and colleagues at all levels. Team oriented with a willingness to share knowledge with and support other members of the team/cluster. Experience of using a case management system preferred Experience/understanding of finance systems preferred. Previous finance/billing experience within a professional services environment is ideal but not essential.
